1. Scope of Services and Intermediary Role

Global Travel Solutions does not provide ground transportation services. We provide an arrangement service: we arrange for the procurement by our clients of transportation services from independent local transport providers ("Service Providers"). Global Travel Solutions ("we", "our", or "us") is Global Travel Solutions UG (haftungsbeschränkt), a company registered in Germany, operating as an arrangement partner and intermediary for premium B2B ground transport worldwide.

By using our services, you enter into an arrangement agreement with Global Travel Solutions for the coordination and procurement of transport services, and a separate transportation service agreement with the Service Provider assigned to your booking. The Service Provider is solely responsible for the provision and quality of the transportation service, including the safe operation of the vehicle and compliance with local traffic laws. Global Travel Solutions is responsible for the proper selection, vetting, and coordination of Service Providers.

These Terms of Service govern all bookings and services provided through Global Travel Solutions, whether arranged via our booking platform at app.global-travelsolutions.com, email, WhatsApp, phone, or any other communication channel.

2. Eligibility

Our services are primarily directed at business clients, including corporations, travel management companies, concierge services, event agencies, and other professional organisations. When placing a booking on behalf of a business entity, you confirm that you are authorised to enter into agreements on its behalf and that you are acting in a professional or commercial capacity. The provisions of the EU Consumer Rights Directive (2011/83/EU) and the German right of withdrawal (Widerrufsrecht) for distance contracts do not apply to contracts between businesses. Where the client is a consumer, mandatory statutory consumer rights remain unaffected.

3. Booking Process and Contract Formation

Bookings are placed through the following process:

  1. The client submits a transport request specifying date, time, pickup and drop-off locations, number of passengers, vehicle preference, and any special requirements.
  2. Global Travel Solutions provides a detailed quote including all costs (vehicle, driver, tolls, parking, waiting time, and any applicable surcharges).
  3. The client confirms the booking by approving the quote in writing (email, platform confirmation, or WhatsApp message).
  4. Global Travel Solutions assigns a vetted local transport provider and sends the client a booking confirmation with driver details prior to the service date.

A binding arrangement agreement is formed when we send you a booking confirmation following your written approval of a quote. Quote requests and preliminary inquiries are not binding on either party. Written approvals via email, our booking platform, or WhatsApp have equal legal validity. All confirmed bookings are subject to these Terms of Service.

4. Pricing and Payment

All prices quoted by Global Travel Solutions are all-inclusive unless explicitly stated otherwise. Quotes include the vehicle, driver, fuel, tolls, parking, and standard waiting time.

  • Prices are quoted in EUR.
  • Payment is made in advance: upon confirmation of a booking, the quoted price is due by card payment or by bank transfer against a prepayment invoice. The booking is final once payment has been received.
  • For business clients, different payment arrangements may be agreed in a partnership contract or individually for a specific booking: payment on invoice after service delivery (the invoice is typically issued within 5 business days), or consolidated monthly invoicing with net 14 or net 30 payment terms.
  • Additional charges may apply for significant deviations from the original booking (e.g., extended waiting time beyond 60 minutes, route changes adding more than 20% distance, or additional stops not included in the original request).
  • Invoices are issued by Global Travel Solutions UG (haftungsbeschränkt) or by our affiliated entities, depending on the client's location and commercial agreement.
  • All quoted prices include VAT unless explicitly stated otherwise. For business clients, prices may be quoted net of VAT, with VAT shown separately on the invoice. VAT is applied in accordance with the place-of-supply rules of applicable law: passenger transport services are subject to VAT in the country or countries in which the transport takes place, apportioned by the distance travelled in each country, while arrangement services are generally subject to VAT in the country in which the client is established. Where applicable law provides for the reverse charge mechanism, the invoice will state this and no VAT will be charged on the amounts concerned. EU-based business clients may be able to recover VAT charged to them in another EU member state via the EU VAT refund procedure (Council Directive 2008/9/EC). Clients are responsible for any other local taxes applicable in the country of service delivery.
  • If payment is not received within the agreed term, we may charge default interest in accordance with German law (BGB §288): for business clients, at 9 percentage points above the German statutory base rate (Basiszinssatz, §247 BGB) per annum, plus a flat-rate recovery charge of EUR 40 per overdue invoice; where the client is a consumer, the statutory rate of 5 percentage points above the statutory base rate applies. We reserve the right to suspend services for clients with outstanding overdue invoices.

5. Cancellation Policy

The following cancellation terms apply to confirmed bookings:

For passenger cars and minivans (all sedan, SUV, and van classes), the following terms apply:

  • 24 hours or more before pickup: Free cancellation. No charges apply.
  • Less than 24 hours before pickup: 100% of the quoted price is charged as a cancellation fee. The full amount is due as the transport provider has already been dispatched or reserved.

For Sprinter-class minibuses, midibuses, and coaches (all classes), the following terms apply:

  • 30 days or more before pickup: 10% of the quoted price is charged as a cancellation fee.
  • 11 days or more, but less than 30 days before pickup: 25% of the quoted price is charged as a cancellation fee.
  • 8 days or more, but less than 11 days before pickup: 50% of the quoted price is charged as a cancellation fee.
  • Less than 8 days before pickup: 100% of the quoted price is charged. The full amount is due as the vehicle and driver have already been reserved.

No-show: 100% of the quoted price is charged.

A no-show is defined as the passenger not appearing at the designated pickup location within 60 minutes for airport and train station pickups (during which time the driver monitors flight or train arrivals) or within 15 minutes for all other pickup locations.

In all cases, the client is entitled to prove that we incurred no damage or significantly lower damage than the applicable cancellation fee; in that case, only the lower amount is payable.

Cancellations must be communicated in writing (email, platform, or WhatsApp). The periods above are measured from the time we receive the cancellation to the scheduled pickup time. Volume account clients may have custom cancellation terms as defined in their partnership agreement.

Global Travel Solutions reserves the right to cancel a confirmed booking if: (a) the assigned Service Provider becomes unavailable and no suitable replacement can be arranged; (b) safety or security conditions make the journey inadvisable; (c) the client has outstanding unpaid invoices exceeding 30 days overdue. In case of cancellation by us for reasons (a) or (b), no cancellation fee is charged and we will make reasonable efforts to arrange an alternative.

Cancellations necessitated by force majeure events (Section 10) are not subject to cancellation fees for either party.

6. Service Modifications

Changes to confirmed bookings (time, location, vehicle type, number of passengers) are accommodated whenever possible. We make every effort to fulfil modification requests, but availability of the original vehicle or driver cannot be guaranteed for last-minute changes. Any price differences resulting from modifications will be communicated before the change is confirmed. Substantial modifications (change of city, date, or vehicle class) may be treated as a cancellation of the original booking and creation of a new booking, subject to the applicable cancellation terms and current pricing.

7. Our Responsibilities and Service Levels

Global Travel Solutions commits to:

  • Providing professional, vetted drivers and well-maintained vehicles for all confirmed bookings.
  • Monitoring rides in real time and proactively managing delays, flight changes, and schedule disruptions.
  • Maintaining 24/7 operational support for all active bookings.
  • Responding to quote requests within 3 hours during business hours and within 12 hours outside business hours.

The response times stated above are service level targets and not binding guarantees. Failure to meet a stated response time does not constitute a breach of this agreement and does not give rise to a right of cancellation or compensation, unless otherwise agreed in a separate partnership contract.

8. Liability

Global Travel Solutions provides an arrangement service, not transportation services. Our liability is therefore limited to the arrangement service we provide.

Our Liability (Arrangement Service)

We are liable for the proper selection and vetting of Service Providers, accurate communication of booking details, and reasonable efforts to resolve issues during active bookings.

We are liable without limitation for damages caused intentionally or through gross negligence. For damages caused by simple negligence, we are liable only for breach of material contractual obligations (wesentliche Vertragspflichten) — obligations whose fulfilment is essential to the proper execution of this agreement. In such cases, our liability is limited to foreseeable, typically occurring damages.

Our aggregate liability for all claims arising from a single booking shall not exceed the total price quoted for that booking. Our aggregate liability for all claims arising in any 12-month period shall not exceed the total fees paid by the client to us in that period.

Service Provider Liability (Transport Service)

The Service Provider bears direct and sole liability for the transportation service, including:

  • Safe and lawful operation of the vehicle throughout the journey.
  • Compliance with all applicable traffic laws and road regulations.
  • Maintenance of adequate commercial insurance coverage.
  • Professional conduct and standards of care towards passengers.
  • Punctuality and adherence to the confirmed booking details.

Exclusions

Global Travel Solutions is not liable for:

  • Acts or omissions of Service Providers during the provision of the transportation service.
  • Indirect or consequential damages, including missed flights, lost business opportunities, accommodation costs, or lost baggage.
  • Delays caused by traffic conditions, weather, road works, or other circumstances beyond our or the Service Provider's control.
  • Events constituting force majeure as described in Section 10.
  • Items left behind in vehicles by passengers.

Personal Injury

The limitations and exclusions of liability in this section do not apply to liability for death or personal injury caused by our negligence, liability under the German Product Liability Act (Produkthaftungsgesetz), or any other liability that cannot be excluded or limited under applicable law.

9. Client Responsibilities

The client is responsible for:

  • Providing accurate booking information, including correct addresses, flight numbers, passenger counts, and contact details.
  • Ensuring passengers are ready at the designated pickup location and time.
  • Communicating any changes or cancellations in a timely manner.
  • Treating drivers and vehicles with respect. Damage to vehicles caused by passengers will be charged to the client.
  • Ensuring that all passengers comply with applicable local laws, including seatbelt use, immigration document requirements for cross-border transfers, and prohibitions on transporting illegal items.
  • The client (business entity) remains responsible for payment regardless of whether the end-passenger uses the booked service.
  • We are not liable for service failures caused by inaccurate or incomplete information provided by the client.

10. Force Majeure

Neither party shall be liable for failure to perform obligations under this agreement if such failure results from events beyond the party's reasonable control, including but not limited to: severe weather, natural disasters, pandemics or epidemics, war or armed conflict, terrorist acts, strikes or industrial action, civil unrest, government-imposed travel restrictions or sanctions, airport or border closures, and prolonged power or telecommunications failures. In the event of force majeure, the affected party shall notify the other party as soon as reasonably practicable. If a force majeure event prevents the delivery of a booked service, the client shall not be charged a cancellation fee.

11. Insurance

All transport providers in our network are required to maintain valid commercial transport insurance and all licences required by local law. Global Travel Solutions verifies insurance coverage as part of our vetting process. Passengers are covered under the transport provider's commercial insurance policy during the ride.

12. Indemnification

The client shall indemnify and hold harmless Global Travel Solutions against all claims, damages, losses, and reasonable legal costs arising from: (a) the client's breach of these Terms of Service; (b) inaccurate or misleading information provided by the client; (c) the client's or its passengers' violation of applicable laws during a booked service; (d) damage to vehicles or property caused by the client's passengers.

13. Intellectual Property

All content on our website and booking platform, including text, images, logos, designs, and software, is the property of Global Travel Solutions or its licensors and is protected by copyright and trademark laws. Clients may not reproduce, distribute, modify, or create derivative works from our content without prior written consent.

14. Confidentiality

Both parties agree to keep confidential any commercially sensitive information shared in the course of the business relationship, including but not limited to pricing, booking volumes, client lists, and operational processes. This obligation does not apply to information that is publicly available, independently developed, or required to be disclosed by law. The confidentiality obligation survives termination of the business relationship for a period of 2 years.

The client acknowledges that the terms of Global Travel Solutions' arrangements with the transport providers performing the booked services, including the remuneration payable to them, constitute confidential business information of Global Travel Solutions. Global Travel Solutions is not obliged to disclose such terms to the client beyond the information stated on the relevant invoice.

15. Data Protection

We process personal data in accordance with our Privacy Policy, available at the Privacy Policy page on this website. By using our services, you confirm that you have read our Privacy Policy and understand how we process personal data related to bookings, communications, and website usage. Where the client acts as a data controller for passenger data, both parties shall cooperate in good faith to ensure compliance with applicable data protection laws.

16. Governing Law, Jurisdiction, and Dispute Resolution

These Terms of Service are governed by and construed in accordance with the laws of the Federal Republic of Germany, excluding the United Nations Convention on Contracts for the International Sale of Goods (CISG).

Where the client is a merchant (Kaufmann) within the meaning of the German Commercial Code, a legal entity under public law, or a special fund under public law, or has no general place of jurisdiction in Germany, any disputes arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts at the registered seat of our German entity, unless otherwise agreed in a separate partnership contract. Otherwise, the statutory places of jurisdiction apply.

For disputes with clients based outside the European Union, the parties may alternatively agree to resolve disputes through arbitration under the rules of the International Chamber of Commerce (ICC).

Global Travel Solutions is neither willing nor obliged to participate in dispute resolution proceedings before a consumer arbitration board within the meaning of the German Consumer Dispute Resolution Act (VSBG).

17. Severability

If any provision of these Terms is held to be invalid or unenforceable by a court of competent jurisdiction, the remaining provisions shall continue in full force and effect. The invalid provision shall be deemed replaced by a valid provision that most closely reflects the economic intent and purpose of the original provision.

18. Entire Agreement

These Terms, together with any separate partnership agreement between the parties, constitute the entire agreement regarding the subject matter hereof. In the event of a conflict between these Terms and a partnership agreement, the partnership agreement shall prevail to the extent of the conflict. No oral agreements, side agreements, or representations outside of these documents shall be binding.

19. Changes and Contact

We reserve the right to update these Terms of Service at any time. The current version will always be published on this page. Clients with active partnership agreements will be notified of material changes via email at least 30 days before they take effect.
